Managing subcontractor bids is one of the most time-consuming and error-prone aspects of general contracting. On a typical commercial project, a GC might solicit bids from 60 to 100 subcontractors across 15 to 20 trade categories, then manually compile, compare, and level those bids in spreadsheets. Phone calls, email chains, and last-minute substitutions add complexity. Today we're launching Bid Management 2.0, a comprehensive redesign that streamlines this entire workflow.
The new system starts with smarter bid solicitation. When you create a bid package in ElkConstruct, you define the scope, attach relevant drawings and specifications, set the due date, and select subcontractors from your network. The platform automatically identifies which divisions and specification sections are relevant to each trade, ensuring subcontractors receive only the information they need. No more sending 200-page spec books to an electrical contractor when only Division 26 applies.
Subcontractors receive invitations through a clean, mobile-friendly portal that doesn't require creating an account. They can view the bid package, download drawings, ask questions through a built-in RFI system, and submit their proposals all in one place. Questions and answers are visible to all invited bidders on that trade package, maintaining fairness and reducing duplicate inquiries.
The bid comparison engine is where the real time savings happen. As proposals come in, the system automatically parses pricing breakdowns and normalizes them into a standard format. You can compare bids side by side, with the system highlighting scope inclusions, exclusions, and qualifications that differ between bidders. This bid leveling process, which typically takes an experienced estimator two to three hours per trade, now happens in minutes.
We've also added automated qualification tracking. When you invite a subcontractor to bid, the system checks whether their insurance certificates, bonding capacity, and license information are current. If anything is expiring soon or missing, you'll see a flag on the bid comparison dashboard.
The award workflow has been streamlined too. When you select a winning bidder, the platform generates a scope letter based on the subcontractor's proposal, your scope notes, and any clarifications from the RFI process. The subcontractor receives the award notification with the scope letter attached and can accept or request modifications directly through the portal.
Early feedback from our beta partners has been overwhelmingly positive. One estimator managing a $45M mixed-use project told us the system saved his team approximately 30 hours during the bidding phase. Another reported that the bid leveling feature caught a $180,000 scope exclusion that would have been missed in their traditional spreadsheet comparison.
Bid Management 2.0 is available now for all Professional and Enterprise subscribers. Starter plan users can manage up to three active bid packages simultaneously.
